Terms and conditions

Below are our Terms and Conditions; please read these carefully. As our guests, having booked a reservation on our website you are agreeing to abide by them.

The terms ‘we’, ‘our’ and ‘us’ means Hilly Hideaway.

Arrival and departure

Your lodge will be available from 2pm on the day of your arrival, though we try to offer a flexible arrival time wherever possible. We may not be able to accommodate you if you arrive early as we will be busy getting everything ready for your stay.

We offer a self check in process, so you have flexibility to arrive at your leisure. You will receive details of how to find the Hilly Hideaway lodge, and your unique one-time pass code for the lock box 24-48 hours prior to your arrival.

Please vacate your lodge by 10am on the day of your departure, this is to allow us enough time to change over before the next guests.

Cancellation

If it becomes necessary for you to cancel your booking please tell us immediately. If you cancel up to 14 days prior to your arrival date, a full refund of paid prepayments will be issued. If you cancel up to 5 days prior to your arrival date, we will issue a 50% refund of paid prepayments. We are unable to issue any refunds for cancellations received within 48 hours of your arrival date.

Covid-19 update: If Government advice requires us to close the site you will receive a full refund.

Cancellation insurance is available but will be a third party arrangement and does not involve us in any way. We strongly advise that you take out insurance if you are arranging any booking.

Force majeure on the side of Hilly Hideaway exists if the implementation of the agreement is entirely or partially, temporarily or permanently, prevented due to circumstances which are beyond the control of Hilly Hideaway including threat of war, staff strikes, blockades, fire, floods and other disruptions or events.

Hilly Hideaway are not liable for refunds or expenses you incur in the event they are prevented from fulfilling your Booking as a result of circumstances beyond their control. Such circumstances shall include (but not be limited to) war, terrorism, riots or civil unrest, industrial action, flooding, natural disaster, epidemics, health risks or such similar events (“Force Majeure”). We recommend that you have adequate holiday insurance in place to cover this.

If we are made aware or discover that the nature of your booking is inaccurate and/or contravenes our booking conditions we may without liability cancel your booking without a refund to you.

Closures

Hilly Hideaway reserves the right to close the site at short notice. No refund will be given if the site is unable to open due to extreme weather and if we feel the venue has become unsafe but alternative dates will be offered for your booking to be set against. If Hilly Hideaway is forced to close due to technical/maintenance issues, a full refund will be given or an alternative booking date if preferred. Hilly Hideaway cannot be held responsible for any consequent inconvenience or costs incurred.

Occupancy

Occupancy of a lodge must not exceed 4 people. We reserve the right to decline accommodation and/or ask you to leave the site at any time if your numbers exceed this. The booking will then be deemed cancelled with full loss of payment.

We don’t allow anyone on site who is not staying with us, unless this has been specifically requested prior to your stay and we have agreed to it under the specific circumstances.

Age restrictions

Guests must be 18 years or older to book without a parent or legal guardian.

Our lodges sleep up to 4 persons. Anyone under the age of 18 must be accompanied by an adult. No more than three children under the age of 17 may stay in the same lodge at the same time. A parent or legal guardian must be present at all times.

Children

Hilly Hideaway welcomes families, and we pride ourselves in providing a good environment for children.

We are, however, a working farm with various animals and occasionally farm machinery. While we take every care to keep you safe, accidents can happen and it is your responsibility to supervise your children. You must always make sure your children are safe, and if they leave the lodge they must be accompanied by an adult.

Groups

It is the right of Hilly Hideaway to refuse group bookings if we feel they may be detrimental to our other guests. Group bookings are accepted, with the exception of all-male “Stag Do” groups.

The Management reserves the right to change or cancel any group bookings.

The person booking, when booking on behalf of other people, is responsible for disseminating the appropriate information to those persons. For example, these Terms and Conditions, and the information given on arrival.

Guest behaviour

Please keep noise to a minimum between 10pm and 8am. Please do not play amplified music of any sort.

You and your invitees undertake that you will behave in a proper, appropriate and legal manner with due respect to us, our other guests on site, our employees or agents, the site, property, animals, neighbours and any third parties on our property. If you or any of your invitees behave inappropriately or improperly (of which we shall be the sole and final judge on our site) or illegally, we reserve the right (with or without the intervention of the police depending on the nature of the behaviour) to ask you and/all of your invitees (at our sole discretion) to leave the site before the end of the booking period. No refund will be given in these circumstances. In addition, we reserve the right to sue or charge you and/or any of your invitees for any loss, damage or injury caused to us, our lodges, properties, any animals or other property owned by us or our other guests/third parties and/or their property.

Damage

If you cause any damage to your Lodge or elsewhere on the farm during your stay please inform us immediately so that we can inspect the damage and let you know as soon as possible what the result will be.

We reserve the right to charge guests for any damage caused to your lodge, to the site in general. Any damage or breakages which may occur must be reported. Small accidental damages or breakages of a minor nature will not normally be charged but you are required to report all breakage and damage to the owners at the time or before you depart.

Fire pit

Please be aware that open fires are a hazard, particularly near wooden buildings and you should therefore use them responsibly. A lit fire must never be left unattended. The fire pits must never be moved, and never moved into or near the lodges

We do not allow ground fires.

Outdoor hot bath

The wood fired hot bath needs extra caution due to the natural, unregulated way the water is heated. It is essential to test the water before entering, and at regular intervals during use.

The hot bath should not be over-heated, and the water temperature should be between 37.5 and 41 degrees celcius. For safety reasons, it should not exceed this temperature range.

The open flame used to heat the water can be a hazard if not handled properly. Care must be taken when using the stove, and it should not be operated by anyone under 18 years of age.

It should be used responsibly and in line with the guidelines provided. Children should never be left unattended, and supervised at all times when in and around the hot bath.

Pets

No pets are permitted at Hilly Hideaway.

Liability

Please remember you are staying on a farm with live animals and other hazards. Some of the lodge equipment can be dangerous if misused. The proprietor accepts no liability for any accident, injury, loss or damage sustained by any resident, their family, visitors, animals, vehicle or personal effects however caused.

We do not accept any liability for any damage, loss or injury to any member of your party or your possessions whilst on site. By booking to stay at Hilly Hideaway you agree to be responsible for your children and their care.

Hilly Hideaway accepts no liability for any belongings left on site at any time, including but not limited to within the lodges and cars. If you have valuable items that you wish to leave in a secure place please let us know and we will store these for you at your own risk.

Smoking

Smoking is not permitted inside the lodges under any circumstances. Smoking outdoors is permitted but please collect any cigarette butts and dispose of them appropriately.

Complaints

Any complaints must be made to us immediately. No complaints will be entertained at the end of the stay or after the guest has departed.
